A Service-Management Platform for a Growing Cleaning Business
We built Cleanbook a custom scheduling and client-management platform to replace the owner's phone and spreadsheets — recurring jobs, crew assignment, and client history in one purpose-built app.
The challenge
Cleanbook ran the entire business out of the owner's phone and a stack of spreadsheets. Recurring jobs were tracked from memory, crew assignments happened over text, and client details — gate codes, pet notes, special instructions — lived in scattered notes. Off-the-shelf field-service tools were priced and designed for much larger operations, forcing a small team to pay for and work around features they'd never use.
Our approach
Mapped how the business actually scheduled work — recurring cadences, one-off jobs, crew availability, and the exceptions that never fit a rigid template.
Built a scheduling engine that handles recurring jobs and crew assignment, so nothing recurring gets dropped and the whole week is visible at a glance.
Created a client database with per-property notes and service history — gate codes, preferences, and past jobs attached to every address.
Designed a mobile-first crew view so cleaners see their day, job details, and client notes on their phones without calling the office.
The result
Scheduling that used to live in the owner's head now takes minutes, no recurring client falls through the cracks, and the admin work no longer grows every time the business takes on a new client.
